Email that sounds like you (tone + edit loop)
How to use AI to draft emails in your own voice — and edit them so they feel natural, not robotic.
AI drafts fast. The real value comes when you teach it your tone — and then edit the result so it feels human.
Step 1: Give AI a sample
Paste an email you have already written. Ask AI to match the tone.
"Here is an email I wrote. Match this tone — warm, direct, not too formal. [paste your email] Now rewrite this new draft in the same tone: [paste the rough draft you want help with]"
Step 2: Add constraints
- "Keep it under 120 words."
- "Make it friendly but firm."
- "Remove corporate jargon."
- "Add one line acknowledging the other person's time."
Step 3: Edit before sending
- Read it out loud. If it sounds stiff, it is.
- Replace generic phrases with ones you actually say.
- Check names, dates, and numbers — AI sometimes hallucinates.
- Add a personal sign-off if the relationship calls for it.
- "Leverage," "synergy," "moving forward"
- Overly formal openings like "I hope this message finds you well" in casual contexts
- Three-paragraph answers to a one-sentence question
- Repeating the prompt back to you in slightly different words
